1. Required Workday Permissions
Your Workday user (or the person configuring the integration) needs the following permissions:
Integration functional area
Integration Build
Integration Configure
System functional area
Security Configuration domain
Business Process Administration
Manage: Business Process Definitions
Recruiting functional area
Set Up: Recruiting domain
This guide reflects default configuration from Sapia.ai. Many organizations customize their Business Processes, security groups, or recruiting setup — so some steps may look different in your tenant.
2. Choose How to Deliver the Sapia.ai Chat Interview
There are two options for delivering the Sapia.ai chat interview to candidates:
1. The Candidate Task option, OR
2. The Candidate Email option
| Candidate Task | Candidate Email (Recommended) |
How it works | Interview appears as a task in the candidate's Workday home portal | Interview link is sent directly to the candidate's email |
Setup complexity | More complex | Simpler |
Candidate experience | Must log into the candidate portal every time to start | Can start directly from the email — no login required |
Flexibility | Lower — tied to portal access | Higher |
Recommended for | Clients who require all candidate actions centralized in the Workday portal | Most clients |
The Candidate Task option
Candidate task option presents the interview as a task within the Workday candidate home portal. This option tends to be more complex to configure, and it directs candidates to always start the interview by logging into their candidate home portal — offering less flexibility, since candidates must access the portal each time.
The Candidate Email option
Candidate email option, by contrast, sends the interview directly to the candidate's email with a direct link to the Sapia.ai chat interview. This is simpler to configure and more flexible, as candidates can start the interview straight from the email without needing to log in anywhere (Workday Candidate Portal).
