How to Edit the 'Assess Candidate' Business Process (bp: Assess Candidate) - Candidate Task Option

Learn how to edit the 'Assess Candidate' Business Process in Workday to deliver the Chat Interview via the Candidate Task option.

Assessment as a Candidate Home Task

With this option, the Sapia.ai interview is presented as a task within the Workday candidate home portal. The candidate must access, start, and continue the Sapia.ai chat interview directly from there.

Step 1 – Ensure the Take Candidate Assessment action exists in the Assess Candidate Business Process

  1. Access the Assess Candidate business process (Default definition).
    Note: you may need to edit multiple BPs depending on your Workday configuration

  2. Edit the business process definition and select an Effective Date for when the changes will take effect.

  3. If preferred, specify a Due Date representing the time elapsed from business process initiation to completion, otherwise, leave it to default.

  4. Ensure to have Take Candidate Assessment step, if not exist, add the "Take Candidate Assessment" with Candidate as Self as the group.


Step 2 – Create Business Process Condition Rule

  1. On the Take Candidate Assessment step go to Related Actions > ​Business Process > Create Condition Rule

  2. (Optional) Add a meaningful Description and Comment.

  3. Add Rule Conditions as per screenshot below.

    IMPORTANT!
    Ensure the Comparison Value is verbatim and case sensitive as what setup in the Job Application Business Process for Sapia.ai Assessment Step

  4. Click OK to save the condition rule.


Step 3 – Maintain Step Process Condition Rule

  1. Access the Assess Candidate business process (Default definition).
    Note: you may need to edit multiple BPs depending on your Workday configuration

  2. On the Take Candidate Assessment step go to Related Actions > ​Business Process > Maintain Step Conditions

  3. Add the Rule that was created in the Step 2 above.

  4. Click OK to save.


Step 4 – Maintain Step Help-Text (Recommended but optional)

Custom help text, displayed to candidates within the task, can be configured using related actions on the Take Candidate Assessment step.

  1. Access the Assess Candidate business process (Default definition). ​
    Note: you may need to edit multiple BPs depending on your Workday configuration

  2. On the Take Candidate Assessment step go to Related Actions > ​Business Process > Maintain Step Help-Text

  3. Leave the Condition as empty.

  4. Enter Help Text with a candidate-friendly explanation in rich format and describe the Sapia.ai process.

  5. Click OK, then Done.
