How to Edit the 'Assess Candidate' Business Process (Task Option)

Learn how to edit the 'Assess Candidate' business process in Workday using the task option to streamline evaluations.

Security: Ensure the following domains in the System functional area are enabled:

  • Business Process Administration

  • Manage: Business Process Definitions

  1. Access the bp:Assess Candidate definition
    (You may need to edit multiple business processes depending on your Workday setup.)

  2. Edit the definition and choose an Effective Date

    • This sets when the changes will take effect.

  3. Select a Due Date

    • This represents the time elapsed from business process initiation to completion.

    Add an integration step. Required for Sapia.ai to administer the assessment.

  4. Create a new row by clicking the "+" sign

  5. Set the Type to Integration

  6. Set the step order

    • The Take Candidate Assessment step and the Integration step must be configured in parallel.

  7. Click OK

  8. Click Configure Integration System

  9. Enter the Integration System Name

    • Use the name set up for Sapia.ai.

  10. In the "Run As User" box

    • Add the ISU created for Sapia.ai.

  11. Click OK

    • You may receive an error prompting you to set up a redirect.

  12. Set the Redirect to Rerun Integration

    • Select the Security Groups that should have the appropriate permissions.

Note: See the screenshot below.

Custom help text, displayed to candidates within the task, can be configured using related actions on the Take Candidate Assessment step.

  1. Edit the definition again if necessary

  2. On the "Take Candidate Assessment" step, navigate to:
    Business Process > Maintain Step Help-Text

  3. Enter a candidate-friendly explanation and describe the Sapia.ai process.

  4. Click OK, then Done

  5. (Optional) Override the step label

    • On the Take Candidate Assessment step, go to:
      Business Process > Maintain Step Label Override

    • Use this to change the default label if needed.
