How to Edit the Job Application Business Process

Learn how to configure the Job Application business process in Workday to integrate Sapia.ai's assessment step into your hiring workflow.

Required Security Permissions

Ensure you have the following permissions in the System functional area before proceeding:

  • Business Process Administration

  • Manage: Business Process Definitions


Step 1 – Add the Sapia.ai Assessment Step

  1. Access the Job Application business process (Default definition). Depending on your Workday configuration, you may need to update multiple BP definitions.

  2. Under Business Process Steps, click Edit Dynamic Definition and select an Effective Date for when the changes take effect.

  3. Navigate to the Review tab and click the + icon to add a new row.

  4. In the Specify field, select Assessment.

  5. Select the Group responsible for moving candidates into this step.

  6. In the Step Label Override field, enter a name such as Sapia.ai Assessment.

  7. Arrange the steps in the order that best suits your workflow.


Step 2 – Add a Post-Assessment Step (Optional step)

This step allows Sapia.ai to automatically move candidates to a designated step once the assessment is complete.

You can use an existing step or create a new one:

  1. Navigate to the Assessment and click the + icon to add a new row.

  2. In the Specify field, select Assessment.

  3. Select the Group responsible for moving candidates into this step.

  4. In the Step Label Override field, enter a name such as Sapia.ai Complete or Sapia.ai To Be Reviewed.

  5. Arrange the steps in the order that best suits your workflow.


Step 3 – Share the Reference ID with Sapia.ai (Required if Step 2 is configured)

  1. Open the Maintain Reference IDs task and click OK.

  2. Locate the new Workflow Step created in the Assessment tab.

  3. Click View IDs for that step.

  4. Copy the Reference ID Value and either paste it into the Sapia.ai Configuration Workbook during implementation, or share it directly with your Sapia.ai contact.
