A candidate may have multiple interviews scheduled. The information displayed on the candidate tab reflects the interview with the most recent action.
1. Locate candidates
When opening up a job requisition from the list in the extension, it will by default navigate you to the Candidates
tab. New candidates will appear in the Unscheduled
section.
How are candidates categorised?
Unscheduled: New candidates who have no interview scheduled.
Pending: Candidates who have been invited to interview but haven’t confirmed the interview time yet.
Confirmed: Candidates with an interview confirmed.
Past: Candidates who have already completed an interview
Cancelled: Candidates who have cancelled an interview (for candidates with multiple interviews, this will display the status for the most recent cancelled interview)
2. Select candidates for the interview
Select the candidates you want to include in the interview and click the Schedule
button to jump to the interview scheduling page.
3. View Candidates & Add/Edit Interviewers
You cannot edit any information after an interview has been created, so please ensure accuracy when filling in the following sections.
View Candidates
A number count will appear next to the section title, indicating how many candidates have been selected for this interview.
You cannot add candidates on this page, but you can remove candidates, provided at least one remains.
Add Interviewers
Click the "Add Interviewer" button to open the interview pop-up.
Enter the Interviewer's Information.
Interviewers must have a Sapia.ai account, and their details must match their account information. If the details don’t match, the user cannot be assigned as an interviewer. New Sapi.ai users cannot be created from this page.
Edit Interviewers
You can edit the Interviewer's details, such as email and phone number; however, these changes will not update their Sapia.ai account in Talent Hub. Once the details are updated, any future notifications will be sent to the new email address.
Remove Interviewers
You can remove the interviewer, provided at least one remains.
4. Edit Interview Details
Interview name
The scheduler must provide a name for the interview. The interview name will only be visible to the scheduler and the interviewer.
Interview stage
We support multi-stage interviews, allowing schedulers to set up to 5 stages.
Each stage operates independently, with no progression or automation between stages.
Interview mode
In-Person: When this mode is selected, the scheduler must provide the meeting location/address. Candidates will receive this information via email.
Phone: Candidates' PII will be pulled from ATS or Talent Hub. In this mode, the interviewer must call the candidates outside of the Sapia system, as no web calling feature is provided.
Online: When selecting this mode, the scheduler must provide a meeting link, which can be any video conferencing tool of their choice. Both candidates and interviewers will receive the link via email, as well as in the iCal file, which can be added to their local calendar.
Duration
The default meeting duration is 30 mins, schedulers can customise as they like.
Timezone
Set the timezone for the interview, which we recommend aligning with the interviewer's timezone.
5. Generate Interview Timeslots
The scheduler must provide time slots for candidates to choose from. Once the interview is created with these time slots, candidates will receive an invitation link to select their preferred interview time from the slots available.
The scheduler can set up as many time slots as they like.
The scheduler can enter the time slots using the following two methods:
Enter availability
Simply input the interviewer's availability in plain text, and our AI helper will automatically generate time slots based on that information.
Select time slots in the calendar view
Similar to other calendar tools, schedulers can directly select time slots on the calendar.
*Note: The calendar view will not display the interviewer's availability.
6. Add additional information for candidates
The scheduler can add additional written content and upload files, such as a PDF of the job description or an introduction video. These will be included as attachments in the candidate's invitation email.
This is an opportunity to connect with the candidate and prepare them for their interview. You might want to introduce the hiring manager using a video, share your company's values or give more information about the role or what to expect in the interview.
7. Send invitations to candidates
Double-check all the information is correct and click the Send to Candidates
button to send invitations to candidates.
This action will trigger an invitation email for candidates to choose and confirm their interview time. Once the time is confirmed, the scheduler, interviewers, and candidates will receive a confirmation email.
